Step into the role of Senior Executive Assistant (EA) and be a direct extension of the CEO, shaping how decisions are made, ensuring outcomes are delivered, and amplifying leadership across the organisation.

The CEO requires a partner, who can absorb complexity,

anticipate needs, and ensure he shows up to every moment fully prepared and at his best.


The main objective is to amplify the CEO’s effectiveness and reach within the business, without creating distance between him and the organisation. The right person extends the CEO’s presence and perception, protects his focus, and actively manages how he is perceived, internally and externally.


Every situation provides an opportunity to add value, not just complete a task. Before acting, understand the why. The goal is to deliver the right outcome. Success is measured by impact, not activity.


The CEO should be better informed, better connected, and more visible in the moments that matter. Every interaction the CEO has, planned or unplanned,  should reinforce his credibility, intent, and leadership brand.

Your responsibilities as a Senior Executive Assistant at Fast Track would include:

Strategic Partnership & Anticipation

  • Act as a trusted extension of the CEO’s voice, judgment and presence, making decisions and taking action on his behalf where appropriate.

  • Anticipate the CEO’s needs, priorities and potential blockers before they surface, consistently operating one step ahead.

  • Gather organisational intelligence, informal conversations, undercurrents, real sentiment and translate it into actionable insight for the CEO.

  • Monitor strategic priorities and flag when attention, decisions or course corrections are needed, without waiting to be asked.

Communication & Narrative

  • Draft high-quality communications, presentations and storylines on the CEO’s behalf, writing in his voice with accuracy and strategic intent.

  • Build compelling decks and briefing materials that clearly articulate the problem, context and desired outcome, not just information, but a clear narrative.

  • Manage sensitive stakeholder communications with discretion, ensuring the right message reaches the right person at the right time.

  • Facilitate the CEO’s communication with the wider organisation, helping shape how key messages land across different audiences.

Meeting & Calendar Ownership

  • Own the outcome of every meeting, not just the logistics of scheduling it.

  • The right question is always: will this meeting achieve what it needs to achieve?

  • Prepare the CEO fully before each engagement: context, relationships, agenda, desired outcome and any political or interpersonal considerations.

  • Manage post-meeting follow-through rigorously, ensuring decisions translate into action and nothing critical falls through the cracks.

  • Continuously assess the CEO’s calendar to ensure it reflects his strategic priorities, protecting deep work time and eliminating low-value commitments.

Operational & Administrative Excellence

  • Manage and prioritise incoming communications, drafting responses on the CEO’s behalf and ensuring timely follow-up on all critical threads.

  • Coordinate all aspects of the CEO’s business travel, itineraries, stakeholder meetings, agendas and post-trip follow-up seamlessly and without friction.

  • Occasionally, accompany the CEO on business trips to capture decisions, manage follow-up and provide continuity across engagements.

  • Manage and reconcile the CEO’s expenses with accuracy and on time.

  • Handle sensitive and confidential information with complete discretion at all times.

Stakeholder & Organisational Coordination

  • Build strong, trusted relationships across internal and external stakeholders, acting as a credible and professional point of contact for the CEO’s office.

  • Ensure the C-level team is consistently informed of the CEO’s agenda, priorities and availability.

  • Assist in preparing for board meetings, investor communications and other high-stakes external engagements.

  • From time to time, drive projects on behalf of the CEO’s office, ensuring alignment with strategic goals and following through to completion.

Flexibility & Responsiveness

  • Be available and responsive as agreed with the CEO, adapting seamlessly to time-sensitive requests and last-minute changes without creating friction or overhead.

  • Treat ambiguity and change as a normal operating condition, not an exception, the CEO should never have to hold mental space for how a change will land.

  • Continuously identify opportunities to streamline the CEO’s day, reduce cognitive load and create space for his highest-value work.

Job requirements

  • Minimum 5 years’ experience supporting a CEO, Founder or C-suite executive, ideally in a founder-led or high-growth environment.

  • Proven ability to operate with significant autonomy, anticipating needs, making judgment calls and acting without needing constant direction.

  • Exceptional written communication skills: able to draft compelling narratives, executive briefings, board presentations and stakeholder communications to a high standard.

  • Strong verbal communication skills: articulate, precise and credible in senior-level settings.

  • High emotional intelligence and professional maturity steady under pressure, comfortable with ambiguity, and able to separate professional feedback from personal reaction.

  • Demonstrated ability to push back constructively when needed, from a place of judgment and the CEO’s interests, not personal preference.

  • A track record of complete discretion with sensitive commercial, personal and organisational information.

  • Outcome-oriented mindset: measures success by whether the right result was achieved, not whether the task was completed.

  • Experience contributing to or driving strategic projects (e.g. IPO preparation, M&A, fundraising, geographic expansion) is an advantage.

  • Comfortable working across cultures and time zones in a fast-paced, international scale-up environment.

  • Keen interest in the business, curious about strategy, operations and the organisation, not just the mechanics of the CEO’s office.
