We are looking for an extremely organised and passionate Recruitment Coordinator to join our fast-paced Recruitment team based onsite in our Malta Office!

The Recruitment Coordinator will be part of a fast-paced and high-growth environment, supporting a recruitment team responsible for hiring 60+ net employees in the coming year. With a team of three Recruiters and the Head of Talent Acquisition, the focus is on maintaining efficiency, ensuring a smooth candidate experience, and keeping recruitment documentation accurate and up to date.

The role will involve frequent collaboration with hiring managers across different departments, coordinating interviews across multiple time zones, and ensuring that candidates receive timely communication. The recruitment process at Fast Track is dynamic, requiring adaptability and strong organisational skills to manage shifting priorities and multiple roles simultaneously.

Your responsibilities as a Recruitment Coordinator at Fast Track would include:

Interview Coordination and Candidate Experience

  • Ensure a seamless interview experience by efficiently scheduling and confirming interviews and acting as the key liaison between candidates and interviewers.

  • Enhance candidate experience by providing timely updates, proactive communication, and personalised support throughout the hiring process.

  • Streamline recruitment communication by preparing and distributing interview guides, offer letters, and other essential materials.

Recruitment Compliance and Data Management

  • Maintain recruitment compliance and accuracy by keeping all documentation updated, standardised, and aligned with internal policies.

  • Support data-driven hiring decisions by monitoring, analysing, and reporting on key recruitment metrics.

Talent Attraction and Sourcing

  • Maximise talent attraction efforts by collaborating with recruiters to optimise job postings and manage advertising campaigns.

  • Expand talent pipelines by proactively sourcing candidates and managing LinkedIn projects to identify and engage top talent.

HR Collaboration and Support

  • Support HR initiatives by collaborating with the other members of the HR team as needed for HR activities, events, and projects from time to time.

  • Work with HR Operations to collect necessary documentation in preparation for onboarding.

  • Regularly update our Information Security Officer to ensure our reference data is up to date at all times.

Job requirements

  • Previous experience in a Recruitment Coordinator or Administrator role, ideally working with internal recruitment teams

  • Fluent communication in English and exceptional interpersonal skills.

  • Have a solutions-oriented mindset and are adaptable and future-focused.

  • Must possess extremely strong organisational and multitasking skills.

  • Ability to work in a fast-paced, growing work environment.

  • Have a genuine interest in learning and finding ways to improve systems and processes to improve efficiency and effectiveness of work.

  • Good knowledge of Maltese labour law and practical experience in the application of best practices.

  • Have strong written and verbal English communication skills.

  • Tech-savvy - you have the necessary technical skills and experience needed to perform the role. You are well-informed about modern technology, have a curiosity and understanding to stay agile, and are open to new technological and disruptive developments and advancements.

Nice to have:

  • Familiarity with recruitment metrics and reporting 

  • Experience with BambooHR or any related HR Management Platform

  • Experience working with an ATS (Applicant Tracking System) 

  • Experience in candidate sourcing or employer branding.
