Job description
We are looking for an extremely organised and passionate Recruitment Coordinator to join our fast-paced Recruitment team based onsite in our Malta Office!
As a Recruitment Coordinator at Fast Track, you’ll join a Talent Acquisition team responsible for hiring a high net volume of employees each year, working alongside Recruiters and the Head of Talent Acquisition. The team moves fast, runs multiple roles, and we speak to candidates across time zones, and hold a high bar on candidate experience.
Your responsibility is to ensure speed and quality do not trade off. You’ll own interview coordination, candidate communication, and recruitment data accuracy, while identifying process friction and using AI and automation to make the system smarter over time.
This is a strong foundation for someone early in their recruiting or technical career who thinks in workflows, enjoys redesigning how things work, and wants hands-on experience building the systems and tooling behind AI-enabled hiring.
Your responsibilities as a Recruitment Coordinator at Fast Track would include:
Interview Coordination and Candidate Experience
Own end-to-end interview coordination, including scheduling, confirmations, and serving as the primary liaison between candidates and interviewers to ensure a seamless experience.
Deliver a high-quality candidate experience through proactive communication, timely updates, and personalised support across the full hiring lifecycle.
Prepare and distribute interview guides, offer letters, and related materials to ensure consistent and efficient recruitment communication.
Help define, track, and improve candidate experience metrics (e.g., candidate feedback), and support continuous improvement initiatives.
Recruitment Compliance and Data Management
Own recruitment compliance and documentation governance, ensuring all processes and records are accurate, standardised, and aligned with internal policies and GDPR/legal requirements.
Support weekly recruitment operations and reporting, including maintaining hiring trackers, preparing updates, and capturing key actions from the team and hiring meetings.
Keep internal reporting materials up to date by maintaining HR stand-up reports and relevant presentations.
Ensure onboarding data accuracy by updating start dates and key hiring information in BambooHR in a timely manner.
Support reference checks and employment verification processes, ensuring required documentation is collected and completed accurately.
Talent Attraction and Sourcing
Maximise talent attraction efforts by collaborating with recruiters to optimise job postings and manage advertising campaigns.
Expand talent pipelines by proactively sourcing candidates and managing LinkedIn projects to identify and engage top talent.
Coordinate and follow up on external recruitment platforms and requirements (e.g., JobsPlus, EURES), ensuring postings and documentation remain up to date.
Support employer brand and external perception initiatives by conducting periodic research (e.g., Glassdoor and Great Place to Work insights) and sharing findings with the team.
Workflow Optimisation
Identify high-friction, repetitive tasks across the recruitment workflow and propose or prototype smarter solutions.
Support the build and maintenance of automation sequences that reduce manual operations such as inbound application routing, interview scheduling triggers, or follow-up workflows.
Document workflows clearly so that improvements are repeatable, scalable, and easy to use.
Partner with recruiters to design and run sourcing campaigns that actually generate pipelines using tools like LinkedIn Recruiter, or equivalent platforms to reach the right candidates at the right time.
Job requirements
Previous experience in a coordination or administrative role, ideally within HR or Recruitment.
Professional communication in English and exceptional interpersonal skills.
Have a solutions-oriented mindset and are adaptable and future-focused.
Must possess extremely strong organisational and multitasking skills.
Ability to work in a fast-paced, growing work environment.
Have a genuine interest in learning and finding ways to improve systems and processes to improve efficiency and effectiveness of work.
Good knowledge of Maltese labour law and practical experience in the application of best practices.
You think in systems, enjoy optimising workflows, and naturally look for opportunities to automate, simplify, or improve how things run.
Tech-Driven: You are curious about how emerging tools can improve recruitment operations. You enjoy experimenting with new technology, quickly picking up systems and workflows, and finding smarter, more efficient ways to get work done. You stay current with digital trends and are energised by continuous change.
Desired Skills (Nice to have)
Familiarity with recruitment metrics, presenting and reporting
Experience with BambooHR or any related HRIS
Experience working with an ATS (Applicant Tracking System)
